alterNOTION AI Policy
Last updated: 16th October 2025
alterNOTION uses generative artificial intelligence (AI) technologies to support our consulting work and enhance the services we deliver to clients. This policy explains how we use generative AI, the safeguards we apply, and your rights when interacting with us.
1. Purpose and scope
This policy applies to all generative AI–supported activities carried out by alterNOTION, including analysis, content creation, research, and communication. It forms part of our wider commitment to responsible technology use, data protection, and transparency under the EU Privacy Act 2024 and the EU AI Act.
2. Why we use generative AI
We use generative AI to improve efficiency and augment human expertise, not to replace it. These technologies help our consultants work faster, explore ideas more widely, and focus their time on higher-value problem solving and creativity.
3. How we use generative AI
We use generative AI systems to:
- Support analysis and synthesis of client materials (for example, summarising large datasets or research documents).
- Generate draft written, visual, or strategic content for review by our consultants.
- Enhance the speed, quality, and consistency of project delivery, reporting, and communication.
All generative AI outputs are reviewed, edited, and approved by human consultants before being shared externally.
4. Data handling and privacy
When using generative AI tools, we ensure that:
Personal or confidential client data is never used to train AI systems or shared with third parties.
Any data entered into generative AI tools is always anonymised and limited to what’s essential for the task.
Generative AI tools are selected from trusted providers that meet recognised EU security, privacy, and compliance standards.
All data remains protected under GDPR and the EU Privacy Act 2024.
5. Human oversight and accountability
All generative AI-assisted work remains under human oversight. Our consultants are accountable for reviewing outputs and ensuring ethical integrity and alignment with our professional standards.
6. Transparency
We believe in openness about when and how generative AI is used. When deliverables have been partially produced or enhanced using generative AI, we will disclose this clearly to clients.
7. Your rights
You have the right to:
- Request information on whether generative AI has been used in work relating to you or your organisation.
- Object to generative AI-assisted processing or request a human-only review.
Requests can be made by emailing karen@alternotion.consulting.
8. Continuous review
As the regulatory landscape evolves, we review this policy regularly to ensure ongoing compliance with the EU AI Act, the EU Privacy Act 2024, and other applicable legislation. Updated versions will be published on this website.
