This policy explains how alterNOTION Consulting uses artificial intelligence when delivering services, and how we ensure responsible use, transparency and legal compliance.
AI is used to support quality, efficiency and insight. It does not replace professional judgement, accountability or human decision-making.
1. How we use AI
alterNOTION Consulting may use AI tools to support the following activities:
Research: summarising publicly available information, identifying trends, benchmarks and patterns, supporting desk research and environmental scanning.
Ideation: generating ideas, options and creative directions, supporting structured problem-solving and exploration.
Drafting: creating first drafts of reports, proposals and communications, structuring complex information for clarity.
Editing: improving grammar, structure, tone and accessibility, ensuring consistency across documents.
Analysis: supporting qualitative and quantitative analysis, highlighting insights, risks and opportunities.
All AI-assisted outputs are reviewed, validated and finalised by humans before delivery.
2. AI models and tools used
alterNOTION Consulting uses publicly available, general-purpose AI models only. We do not use custom-trained or proprietary client-specific models, internally hosted or experimental AI systems, or AI systems trained on private, scraped or undisclosed datasets.
AI tools are used strictly as assistive technologies. They do not operate autonomously.
3. Data protection and GDPR compliance
alterNOTION Consulting complies with UK GDPR and EU GDPR. Please see our Privacy Policy.
Lawful basis: personal data is processed only where a lawful basis exists, such as contract or legitimate interest.
Data minimisation: we avoid using personal data in AI tools in accordance with our Privacy Policy.
Security: appropriate technical and organisational measures are in place, including access controls and secure handling practices.
Your rights: you may request access, rectification, erasure, restriction, objection or portability of your personal data where applicable. Requests can be made via karen@alternotion.consulting.
4. EU AI Act compliance
alterNOTION Consulting aligns with the EU AI Act's risk-based framework. AI is used only in low-risk, general-purpose contexts. No high-risk or prohibited AI use cases are deployed. Human oversight is always maintained. AI-assisted content is transparent and explainable.
5. Client data and confidentiality
Client confidential data is not used to train AI models. No data is knowingly retained beyond permitted terms. Third-party tools are assessed for compliance and security. Data is retained only as long as required and in accordance with our data retention schedule.
6. Transparency and human oversight
Every piece of work delivered by alterNOTION Consulting has been reviewed and approved by a qualified professional. AI may assist in producing content, but all outputs are subject to human validation, fact-checking and quality control before they reach clients.
We do not use AI for automated decision-making that produces legal effects or similarly significant impacts on individuals.
7. What this means for clients
AI supports efficiency, not decision-making authority. Human expertise remains central to all engagements. There is no hidden automation or profiling. Our use of AI is transparent, compliant and responsible.
